Guide

Everything you need to get the most out of CV Matcher — from posting a job to exporting your shortlist.

1
Post a job description

Write or paste your job description into the form. The more detail you include — required skills, seniority level, responsibilities — the more accurately the AI can score candidates.

You can also upload a job spec file (PDF or DOCX) and the app will extract the text automatically.

A specific job description produces better matches than a generic one. Include must-have skills, tools, and years of experience.

2
Upload candidate CVs

Drag and drop or select multiple files at once. Supported formats: PDF, DOCX, and TXT. CVs stay in your library and can be matched against any role.

Including cover letters: Upload a cover letter alongside a CV and the app pairs and scores them together. Use the same candidate name with a cover letter suffix.

Pairs detected automatically

sarah_jones_cv.pdf + sarah_jones_cover_letter.pdf

john_smith_resume.pdf + john_smith_cover.pdf

amy_chen_cv.docx + amy_chen_cl.docx

Suffixes recognised: _cover_letter, _cover, _cl. The matched result shows the CV filename — cover letters don't appear as a separate row.

3
Run the match

Open any job from your jobs list and click Run Match. The AI scores every CV in your library against the job description and ranks them from best to worst fit.

Each result shows a match score, the skills found in both the CV and job description, and any key skills the candidate is missing.

Scores are not permanent — re-run the match any time you add more CVs or update the job description.

Review results & export

Results are ranked by score. Review matched and missing skills for each candidate, then export your shortlist to CSV or Excel to share with your client or hiring manager.

Frequently asked questions

No. Your CV library is completely private to your agency account. CVs you upload are only visible to you and your team members — never shared with other agencies on the platform.

Each CV is scored against your job description by an AI model trained to evaluate recruitment fit. It identifies skills present in both documents and flags key requirements missing from the CV.

Scores are on a 0–100 scale. The AI also provides matched and missing skills to help you make faster decisions without reading every CV in full.

Yes. Upload a cover letter alongside a CV and the app pairs them automatically by filename. Give them the same candidate name and add a suffix: _cover_letter, _cover, or _cl.

For example: sarah_jones_cv.pdf and sarah_jones_cover_letter.pdf are treated as one candidate, scored together, and shown as a single result row.

Upload limits depend on your subscription plan. CVs stay in your library until you delete them — you don't need to re-upload when running matches for a new role.

Yes. Go to Team in the nav, enter your colleague's email address, and send them an invitation. They'll receive a link to join your agency account. Team members share the same CV library and job list.

After running a match, use the Export buttons on the results page to download a CSV or Excel file. The export includes each candidate's name, score, matched skills, and missing skills — ready to paste into a client report or your ATS.

PDF, DOCX (Word), and TXT are supported for CVs and cover letters. PDF produces the cleanest text extraction for most CVs.
